Privacy Policy

SignalBack ("we", "us") provides lead-reactivation software: free audits of uploaded CRM exports and, for early-access accounts, re-engagement campaigns. This policy explains what data we handle and how. Questions or requests: hello@signalback.ai.

Two kinds of data, two roles

Data you give us about yourself (your email when requesting early access, your company name, analytics about how you use the site): we are the controller of this data and this policy governs it directly.

Data you upload about your customers (CSV exports containing names, email addresses, phone numbers, estimate amounts, and related records): you are the controller of this data and we process it on your behalf, only to provide the service. By uploading, you confirm you have the right to share these records with a service provider for this purpose.

What we collect

• Uploaded files: the CSV exports you submit for audits, and the cleaned records derived from them
• Contact details you provide: email address and company name for early-access requests and support
• Usage data: standard web analytics (pages viewed, approximate location, device type) and product events (for example, that an audit was created)
• Technical logs: IP addresses and request metadata used for security, rate limiting, and abuse prevention

How we use it

• To produce your audit report and, on early-access accounts, run the campaigns you configure
• To operate, secure, and improve the service — including AI-assisted classification of uploaded rows, performed by vetted AI service providers under contractual confidentiality
• To contact you about early access, support requests, and material changes to the service
• We do not sell personal data, and we do not use one customer's uploaded records for another customer's benefit

Service providers

We use a small set of infrastructure subprocessors to run the service: cloud hosting and databases, AI model providers used for data cleaning and classification, email delivery, and analytics. Data is processed on cloud infrastructure located in the United States. Each provider is bound by terms that restrict use of the data to providing their service to us.

Retention and deletion

Audit data is retained so your report link continues to work, and campaign data is retained for the life of your account plus what bookkeeping and dispute resolution require. You can request deletion of an audit, your uploaded data, or your account at any time by emailing hello@signalback.ai — we honor deletion requests for both your data and your customers' records.

Audit report links

Audit reports live at private, unguessable URLs and are excluded from search-engine indexing. Anyone who has a report link can view that report — treat links accordingly.

Security

Data is encrypted in transit, access is limited to what operating the service requires, and sending paths enforce suppression of opted-out contacts. No system is perfectly secure; we notify affected customers of any breach as required by law.
